In short
01

Who we are

SphereAtlas Online is a brand of SphereAtlas Global Management and Strategic Consultancy LLC, a company registered in the Sharjah Media City (Shams) Free Zone, United Arab Emirates, under Licence No. 2646712.01 (“SphereAtlas”, “we”, “us” or “our”).

We are an educational management company and program delivery partner. We work with accredited partner schools to support families through enrollment, documents, payments and day-to-day coordination for Kinder to Grade 12 online learning. We are not a school.

For the personal information described in this policy, SphereAtlas decides how and why it is used and is responsible for it as the data controller. Our partner schools are separately responsible for the student records they hold, as explained in section 7.

02

What this policy covers

This policy explains how we collect, use, share and protect personal information when you:

  • visit sphereatlasonline.com (the “website”);

  • message us on WhatsApp, email us, call us or book a call with our team;
  • interact with our pages or advertisements on Facebook, Instagram and TikTok; or
  • apply to work with us or join our Educator Network.

It does not cover the websites, apps or services of our partner schools or of other companies, even if we link to them. Separate notices may apply to student accounts on learning platforms; we provide these at enrollment.

Our use of cookies and tracking pixels is explained in more detail in our Cookie Policy.

Some of this is collected through cookies and pixels, but only with your consent where consent is required. See our Cookie Policy.

Information from others
  • Advertising platforms: if you complete a lead form inside Facebook, Instagram or TikTok, the platform passes the details you entered to us.
  • Partner schools: updates on application and enrollment status for your child.
  • Other families: if someone refers you to us, they may share your name and contact number. We will only contact you about the referral.

Sensitive information

We do not ask for sensitive information such as health details, religion or ethnicity through the website. If you choose to tell us about a learning support need so that we can help your child, we use it only for that purpose, share it only with those who need it to support your child, and treat it with extra care.

Our forms are protected by Google reCAPTCHA, which checks whether a form is being filled in by a person rather than an automated program. To do this, reCAPTCHA collects information such as your IP address, browser and device details, and how you interact with the page, and sends it to Google.
04

Children's information

Our services are for children, but our website and communications are intended for parents and legal guardians. Only a parent, legal guardian or someone authorised by them should submit a child’s information to us.

By submitting information about a child, you confirm that you are the child’s parent or legal guardian, or that you have their permission. We use a child’s information only to respond to your enquiry, process enrollment and support the child’s education with our partner schools. We never use a child’s information for advertising.

The website is not designed for use by anyone under 18. If we learn that someone under 18 has sent us personal information without a parent or guardian’s involvement, we will delete it.

05

How we use your information

Depending on the situation, this is your consent, the steps needed to provide the services you ask for or to enter into an agreement with you, compliance with our legal obligations, or our legitimate interests in running and improving our business in a way that does not override your rights.

WhatsApp and automated replies

WhatsApp is our main way of talking with families. WhatsApp is provided by Meta, and your use of it is also governed by WhatsApp’s own terms and privacy policy.

To answer families quickly at any time of day, we may use automated tools to reply to common questions outside office hours. A member of our team reviews conversations and is available to help during office hours, Monday to Friday, 9am to 5pm UAE time. You can ask to speak to a person at any time.

When you need to send documents, our team will tell you the most secure way to share them for your situation.

07

Who we share it with

We do not sell your personal information. We share it only with:

  • Our partner schools, accredited schools and institutions that deliver the curriculum and issue academic records. We share the information they need to process enrollment and deliver your child’s education. Once your child is enrolled, the partner school is responsible for the academic and student records it holds, such as grades, report cards and certificates, under its own privacy obligations.
  • Service providers who help us run our business, under contracts that require them to protect your information and use it only on our instructions. These include website hosting, email and productivity tools (including Microsoft 365), form and customer relationship management (CRM) tools, spam protection (Google reCAPTCHA), messaging services, payment providers and IT support. Google’s use of reCAPTCHA information is covered by the Google Privacy Policy and Terms of Service.
  • Advertising and analytics providers (Meta, TikTok and Google), only for visitors who accept these cookies, as described in our Cookie Policy.
  • Professional advisers such as lawyers, accountants and auditors, under a duty of confidentiality.
  • Authorities such as courts, regulators and law enforcement, when the law requires it or to protect the rights, safety and property of our families, staff or the public.
  • A buyer or successor if all or part of our business is reorganised, merged or sold, subject to this policy.
08

International transfers

We operate in the United Arab Emirates and the Philippines, and our families live in many countries. Your information may be transferred to, stored in or accessed from countries other than your own, including the UAE, the Philippines and the countries where our service providers keep their servers.

When we transfer personal information outside the UAE or the Philippines, we do so in line with applicable data protection laws, for example by transferring to countries with adequate protection, using contractual safeguards with the recipient, or relying on your consent where the law allows.

Website analytics

As set out in our Cookie Policy

We may keep information for longer if the law requires it or if it is needed for a legal claim. When information is no longer needed, we delete it securely or anonymise it so it can no longer identify you.

10

How we protect it

We use appropriate technical and organisational measures to protect personal information against loss, misuse and unauthorised access. These include encrypted connections (HTTPS), two-step verification on our accounts, access limited to staff who need it, confidentiality obligations for our team and providers, spam and abuse protection on our forms, and regular secure backups.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a personal data breach occurs that is likely to affect your rights, we will notify you and the relevant authorities as required by law.
11

Your rights

Depending on the law that applies to you, you have the right to:

  • Access the personal information we hold about you and receive a copy;
  • Correct information that is inaccurate or incomplete;
  • Delete your information where we no longer have a reason to keep it;
  • Restrict or object to how we use it, including for direct marketing;
  • Receive your information in a structured, commonly used format, or have it transferred to another organisation where technically possible;
  • Withdraw your consent at any time, without affecting what we did before you withdrew it; and
  • Complain to a data protection authority.

To use any of these rights, email privacy@sphereatlas.online. We may need to verify your identity before we act. We will respond within 30 days, or sooner if the law requires.

If you are not satisfied with our response, you may contact the UAE Data Office. If you are in the Philippines, you may contact the National Privacy Commission (privacy.gov.ph). If you live elsewhere, you may contact your local data protection authority.

Some rights have limits. For example, we may need to keep certain records for legal or accounting reasons, or because the partner school holds the academic record. If so, we will explain why.
12

Marketing messages

We send news, offers and enrollment reminders only if you have agreed to receive them. You can stop them at any time by using the unsubscribe link in any email, replying STOP on WhatsApp, or emailing privacy@sphereatlas.online.

Even after you unsubscribe, we may still send you messages that are needed for an enrollment or service you are using, such as document requests and payment confirmations.

13

Other websites and platforms

Our website and messages may link to other websites and platforms, such as social media, partner school sites and payment pages. We are not responsible for their privacy practices. Please read their privacy policies before sharing information with them.

14

Laws we follow

We handle personal information in line with the data protection laws that apply to us, including the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and, for our operations and families in the Philippines, the Philippine Data Privacy Act of 2012 (Republic Act No. 10173). Where other laws give you additional rights, we will respect them.

15

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows when it last changed. If we make significant changes, we will tell you through the website or by message before they take effect.

Questions about your data?

Email our privacy team or message us on WhatsApp. We’ll reply within 30 days, usually much sooner.
